Process automation

We connect the tools you already use with n8n and Make workflows, and the tasks your team repeats every week stop being done by hand. CRM, email, bookings, leads and reports, running on their own and telling you when something breaks.

We work with

  • WordPress
  • Shopify
  • WooCommerce
  • n8n
  • Airtable
  • Supabase
  • Hermes Agent
  • Artificial Intelligence

What automating a process means

One minute, no jargon.

An automated process is a chain of steps that fire on their own when something happens. A form comes in and, with nobody touching anything, the record is cleaned, saved to the CRM, the salesperson is alerted and the customer gets an acknowledgement.

This works because almost every business tool has a door other programs can knock on, called an API. A webhook is the message a tool sends out when something happens. And n8n and Make are the boards where those messages and those doors get chained together without writing a whole application.

Not everything is worth automating. If a task repeats the same way every week and someone does it by hand, it is a candidate. Where it is done differently each time, the process needs sorting out first, and no tool fixes that.

Inside a workflow

What happens, start to finish, when somebody fills in the form on your site.

  1. The ping arrives The form tells the workflow the moment it is submitted, without waiting for anyone to open an inbox. webhook
  2. The record is tidied Phone with country code, name capitalised, email lowercased. Then it checks whether that contact already existed. normalise
  3. It gets saved A new record in the CRM, or an update to the one that was there, tagged with the channel it came from. CRM
  4. The right person hears about it A message to whoever covers that area or product, carrying what the customer actually wrote. WhatsApp
  5. The customer gets a reply An acknowledgement with the real response time, not a "thanks for getting in touch". email

If one of those steps fails, the workflow retries. If it keeps failing, it sends the alert to your team with the full record inside, so nobody has to go hunting for it. A lead never stalls halfway without someone knowing.

What we automate

Eight starting points. The last one is the most common.

CRM sync

The same customer shows up in the web form, in the sales spreadsheet and in the inbox, with three different versions of the phone number. The workflow keeps one good record and keeps it current both ways: what changes in the CRM flows down to the other tools, and the other way round.

Before connecting anything the existing data has to be cleaned: duplicates, half-filled fields and phone numbers written four different ways. It is the part nobody budgets for and almost everybody needs.

Solves
Duplicate records and data that never matches across tools
Connects
HubSpot · Pipedrive · Zoho · Airtable · Google Sheets · Supabase

Lead capture and routing

A contact that takes hours to reach a salesperson almost always arrives too late. The workflow picks up the lead wherever it comes from, form, portal, campaign or missed call, normalises it, scores it and puts it on the right person's desk with an instant alert on WhatsApp or Slack.

It also handles the dull part: the acknowledgement to the customer and the nudge to the salesperson if nobody has replied after a few hours. And it tags the channel it came from, which is the number nobody ever has.

Solves
Leads going cold in an inbox
Connects
Web forms · Meta Ads · Google Ads · portals · CRM · WhatsApp

Booking and appointment agent

For clinics, workshops, restaurants and any business that lives off its calendar. The workflow shows the real openings, confirms the booking, writes it into the right calendar and sends the reminder the day before. If the customer cancels, the slot frees itself without anyone touching it.

Solves
Lost slots, double bookings and no-shows
Connects
Google Calendar · Calendly · WhatsApp · email · your CRM

Sales and support chatbot, 24/7

A chatbot wired into your catalogue and your real answers, not a menu of buttons. It works on the site, on WhatsApp and on Instagram, handles the repetitive questions and hands over to a person the moment the conversation goes off script.

It is a service in its own right, so it has its own page: how we build an AI chatbot.

Solves
Repeat questions outside working hours
Connects
Web · WhatsApp Business · Instagram · Messenger

Automated AI reporting

Instead of opening five dashboards on Monday morning, you get a summary. The workflow pulls analytics, sales and campaign data, cross-references it and asks a language model to write what changed against last week and where to look. The AI writes it, but the numbers come from your own sources, and the report always links back to the dashboard they came from.

Solves
Data scattered across dashboards nobody opens
Connects
GA4 · Search Console · Meta Ads · Google Ads · your CRM

Inbox and calendar assistant

It sorts incoming email, drafts the replies you always send, pulls the tasks hidden inside messages and files them in your tracker. You review and send.

Nothing reaches a customer without a person reading it first.

Solves
Hours a day in the inbox, copying and pasting
Connects
Gmail · Outlook · Google Calendar · Notion · Trello

Automated social publishing

A piece is written once and goes out adapted to each network, in the right format and size, on the calendar you set. The workflow also pulls back material you already have, from the site or the blog, so the account does not depend on Friday inspiration.

We always leave an approval step before publishing.

Solves
Accounts that go quiet for weeks
Connects
Instagram · LinkedIn · TikTok · Facebook · X

Custom build

Most of what we build was not on anyone's list. A quote generated from a spreadsheet, stock control between the warehouse and the shop, a case file moving through three departments with a sign-off at each step.

If your team repeats a task every week and always the same way, it can be automated.

The first conversation sorts out whether it pays off. Sometimes the answer is that it does not.

Solves
In-house processes no off-the-shelf tool covers
Connects
Whatever it takes, API or no API

One lead, two routes

A contact that comes in on a Friday afternoon.

How it works today

  1. The form emails a shared mailbox
  2. Somebody sees it on Monday morning
  3. Name and phone get copied into the spreadsheet
  4. It is forwarded to whoever is thought to cover that area
  5. They call, if they remember
  6. Nobody knows which campaign it came from

Time to the call: however long the inbox stays shut

With the workflow

  1. The contact lands in the CRM, tidy, with its source
  2. Whoever covers that area gets the alert on their phone
  3. The customer gets the acknowledgement with a response time

Time to the alert: seconds

n8n or Make: how we choose

We build on both. The decision comes from these criteria, not from preference.

How the process works

Five phases. Implementation starts within 48 hours of getting access.

01

Mapping

We look at how it is done today, step by step and with whom. Half the unnecessary work usually surfaces right here.

02

Proposal and timeline

What gets automated, what does not, with which tool and in how long. In writing before we start.

03

Build

We build the workflow on your accounts, with error handling and alerts. Nothing goes live without being tested on real data.

04

Testing with you

Your team uses it for a few days with the old process still available. Anything that grates gets adjusted.

Go live and monitoring

The workflow is live, documented and in your name. Monitoring runs 24/7 and alerts you if anything stops responding.

What the price depends on

We do not publish rates, because two projects with the same name rarely cost the same. This is what moves the figure.

  • How many tools the workflow touches. Connecting two is one job; coordinating six, each with its own order and errors, is another.
  • Whether those tools have an API. When one does not, you have to work around it, and that always costs more than connecting it.
  • The state of the data. If there are duplicates and half-filled fields, cleaning up is part of the project.
  • How many exceptions the process has. Every "except when" is another branch to build and test.
  • Volume. A hundred operations a month and a hundred thousand are not built the same way, nor maintained for the same money.

Frequently asked questions

How long does it take to get an automation running?

Work starts within 48 hours of getting access. A simple workflow, such as pushing a web form into your CRM, is usually live in a few days. One that touches several tools and business rules takes longer, and you get the timeline in writing before we start.

Do we have to change the tools we already use?

No. Automating means connecting what you already have. If your team works from a spreadsheet, one specific CRM and the same inbox as always, the workflows are built on top. We only suggest a change when the current tool has no way to connect at all.

What happens when a workflow fails?

Every workflow ships with error handling and alerts. A failed call is retried, and if it still fails the workflow tells you by email or WhatsApp instead of losing the record quietly. Monitoring runs 24/7.

n8n or Make?

It depends on the case. Make suits short workflows between popular tools and teams that want to edit them. n8n fits better when there is custom logic, high volume, or data that has to stay on your own server. We build on both, and the criteria are in the table above.

Who pays for the tool licences?

Accounts are always opened in your name, like hosting or a domain. The workflows, the data and the access are yours from day one, and you never need us to keep running.

Can you automate WhatsApp?

Yes, through the official WhatsApp Business API. It is used for alerts, appointment confirmations and chatbot support. The number has to be registered and the message templates approved before anything goes live, which is the step that surprises people coming from regular WhatsApp.
